Automation on WhatsApp should save your team time without making customers feel they are talking to a machine. These five are worth setting up first.
1. Schedule campaigns ahead of time
Pick an approved template, choose your audience from contacts, lists, tags or a spreadsheet, and schedule it for the right moment, such as the evening before a sale. WhatsRay leaves out anyone who has opted out, sends duplicates only once, and shows what was delivered, read and failed. Failed messages can be retried with one click.
2. Start the right flow from a keyword
Give each flow its own keywords. When a customer writes “price”, send your price list; when they write “book”, send your booking link; when they write “complaint”, assign the chat to a manager. Flows can send buttons and list menus, so customers can tap instead of typing.
3. Greet every new customer
A welcome message goes out the first time someone messages your number, with your opening hours or what you can help with. Outside business hours, the away message replies instead, so nobody is left waiting without an answer.
4. Let an AI bot answer the common questions
Give the bot your business details, prices and policies, plus your web pages and documents. It answers on the numbers you choose, and hands over to your team when a customer asks for a person, is upset, or mentions words such as “refund”. You can take over any chat at any time.
5. Ask for marketing permission, automatically
Add an Opt-in step to a flow: it asks your question with two buttons and saves the answer on the contact. Anyone who replies STOP is opted out straight away, and START brings them back. Campaigns then go only to people who want them, which keeps your number in good standing.
Start with one automation, check how customers respond, and add the next. Small, well-made flows usually work better than one huge one.
